Does a task manager really help a business?

Task managers promise greater efficiency, better control over projects and order in the chaos of everyday work. But is that only a marketing promise, or do they genuinely deliver? At renton.media we tested a range of task management tools and found one that really works. Here is how we use task managers to make our work run better.

Trello plus our own automations — a recipe for efficiency

After plenty of attempts and testing, we settled on Trello. It is a flexible platform that offers even more once you pair it with automations of your own. We use Make.com to squeeze the maximum efficiency out of Trello.

How does that work day to day?

  • Information passes between tasks automatically, which removes the need to copy anything by hand.
  • Statuses update in real time, which keeps us in full control of a project.
  • Notifications get generated, so no important deadline slips past us.

That leaves us more time for what actually matters — strategy, creative work and building relationships with clients.

A task manager as support for clients

Transparency is fundamental to a successful partnership as far as we are concerned. So we roll out Trello boards for clients too, on the more complex projects.

What does that give them?

  • Transparency — clients can see what we are working on as it happens.
  • Control over progress — there is no need to ask about a project’s status, because it is all visible on the board.
  • Schedule management — priorities can be adjusted in real time.

Whether Trello gets rolled out depends, of course, on the nature of the partnership and on what suits the client. But where it works, the difference is genuinely visible.

Integration with other tools — everything in sync

A task manager is effective when it works alongside your other tools. At renton.media we go for an integrated ecosystem that makes our daily work run better.

What do we connect to Trello?

  • Slack — team communication in one place.
  • Google Drive and Google Calendar — order in documents and calendars.
  • A QNAP server — archiving and file access.
  • Google Workspace — managing documents and communication across the board.

With those tools integrated we can be confident that every piece of information we need is close at hand, and that the team’s work runs without interruption.

Are task managers worth using?

A task manager is not a magic solution to every problem. It is a tool that works only when it is configured well and fitted to the team’s needs. At renton.media we treat Trello as the command centre for our projects. It keeps our work organised, and everyone knows what they are responsible for and what the priorities are.

A task manager will not replace creativity or strategic thinking, but it does let you focus on what genuinely matters by removing the chaos and the unnecessary routine.
